Understanding Item Not Found Error

If you scan an item and receive a message indicating “Item Not Found…” it’s helpful to understand the nature of this message. It can easily be confusing since you’re holding the item, or its label, in your hands, so a message about it not being found is puzzling. AMSHub tracks every item down to the lot number and expiration date level. In most cases, item not found means that that item’s specific lot number and expiration date aren’t listed, so there isn’t a specific match needed to pull the item from inventory and add to the procedure or elsewhere. This can happen for a number of reasons: an item was added by manually keying in the data and it was keyed in incorrectly; the item’s data was manually edited later and the lot number or expiration date was changed in such a way that it no longer matches what’s on the item’s label; an item has an invalid barcode due to vendor non-compliance; etc.

The solution is to review the information about this item type in AMSHub and either correct the incorrect data if the item is listed, or to add the item so that it is in inventory and can then be scanned out. Go to the main Inventory page and scan the item’s barcode. If the general item type doesn’t exist in your inventory you’ll get a message from AMSHub to that effect. In most cases it probably will show up in the search results and you can click the item to look at its details. At the bottom of the page you’ll see a list of the specific items in inventory of that type along with their lot numbers and expiration dates. You can look at that data and match what’s in AMSHub to the item’s label. If there is an item with very similar data but with perhaps one character different, it’s possible it was manually entered incorrectly and you can use the Edit feature to modify the item’s details. If it doesn’t appear to be in inventory at all, you’ll have to add the item. Once that item’s data (lot number and expiration date) are in the system, it can be scanned out.
