There are a number of editable points of data for your inventory items. For example, if you need to change par levels or add or remove a physical item from inventory, select the Edit button either from the main Inventory page or on an item’s detail page. On the edit screen you can modify high and low par levels, the item’s price (select customers only), indicate an item is on consignment, is non-taxable, or instruct AMSHub to ignore the expiration dates for this item (doing so will exclude the tracking of this item on your Expiration Report). You can also change an item’s status to Active or Inactive for item’s you no longer want to carry. On an item’s detail page you have the ability to print, download or email a list of items on hand for just a single item. You will see the standard reporting tool widgets in the Items In Inventory area.
** When editing an item, AMSHub will alert you if there are items in inventory (current or used) that have nor price associated to them. Clicking this button will direct AMSHub to update the price for these items to the current contract price you have set.
Let’s look a little closer at each of the editable points of data for your inventory:
- Status: This is an indication for how you want this item to be treated within AMSHub. It is only used within our platform to define how we present and manage this item. Active is the natural status for any regular item you want to order, use, etc. If you have an item that you want to stop using but may use again at a later date, setting it’s status to Inactive will ensure it doesn’t show up for reorder, but will let you continue using any remaining items you may have on your shelves.
- Consignment: For any items that are sold to you as part of a vendor consignment agreement, check this box. There are numerous places throughout AMSHub where you can filter and sort by whether an item is Consigned or Owned. Consignment status can be edited at the main item level or for a single item instance if needed. If you sign a new consignment agreement and items become consigned you can go to the item list page, click Edit All and check or uncheck the box based on which items are consigned/no longer consigned. Click Done once all changes have been made. You may also have a change to a consignment agreement where you need to make changes at the item instance level. For instance, if you sign a new consignment agreement and an item that was not consigned becomes consigned it’s possible that some or all of your existing items will be converted to consigned. The opposite could be true as well. With this feature you can edit an item and further use the Edit Items feature to check or uncheck the consigned status for an item. You will still have the consignment status at the main item level which is what item instances will inherit by default, but you can now override that for single item instances if needed.
- Ignore Expiration: there are some items that have expiration dates on them but that aren’t relevant to the use of this item. As such, you may not want AMSHub to alert you about their expiration dates since it doesn’t affect their use. Checking this box will exclude these items from our expiration tracking tools.
- Non-taxable: if you’ve setup your sales tax rate in AMSHub the rate entered will automatically be added to the true cost of each item. There are some items that are exempt from sales tax, and selecting this option will ensure the price for these items stay at your cost only without the inclusion of sales tax.

You can also edit the specific details of the Items in Inventory. Using the Edit Items button you can change lot numbers or expiration dates for these items. Alert: be very careful in editing item data. Your application is only as good as the data you provide. Removing an item or changing an item’s details, such as lot number or expiration date, can compromise the integrity of and invalidate some data. When you scan a barcode for an item at a later date, it is going to match the exact set of data on that item including lot number and expiration date. Therefore, editing those values to other than the data included on the barcode will create a failed match when scanning the item at a later date and the application will think the item doesn’t exist.
Update Item Details of Global Catalog Items:
Also visible on this page is globally-managed data such as an item’s vendor, name, reference number, item number, etc. If you believe any of this information is incorrect, we provide the ability to submit feedback for review. Click on the item number of the item in your inventory then click the Provide Information button to submit changes to an item. All submitted changes go into an alert status where they will be reviewed and implemented as needed by our team. Any changes to this information is global across AMSHub, not facility-specific, therefore any changes that are not acceptable from a global perspective may not be approved. This feature should be a way to correct incorrect information or clarify an item’s name in a way that will make it more meaningful to all users.
Besides correcting incorrect information, you can also submit an alternate GTIN using the Provide Information button. Some vendors change manufacturing locations or item packaging which will require them to get a new GTIN for the same item. In this case, assuming it’s the exact same item, you can now use the Provide Info button on Item Edit to submit the alternate GTIN. You can either key in the new GTIN by hand or you can scan the new bar code. Once our team verifies this and attaches it to the item you will be able to scan either GTIN and the system will handle it behind the scenes.
