The Expiration Report is going to provide you with a list of all of your inventory with an upcoming expiration date. So now what? The goal, of course, is to eliminate the scenario where an item actually reaches its expiration date. One of the simplest options is to make sure products with the earliest expiration date get pulled first during a case. Here are some ideas to make sure that happens:

Tag: print out your expiration report and grab a red pen or sticker. Go through and mark or sticker all of the products from your report. Inform everyone that pulls product to always pull tagged products first

Organize: since you likely have more than one of most products on the shelf, establish a consistent method of how items are organized. Define a methodology where products get sorted from left to right, or right to left, based on expiration date. This way everyone knows to always pull from the left or right side, based on which method you choose. This applies to hanging items as well; items should be organized from oldest to newest, front-to-back

Educate: capital wasted on expired product can be significant and negatively impacts everyone in the supply chain. Simply educating all staff on the importance of trying to minimize this preventable waste can help everyone make more educated decisions while working with items and improve operation efficiency

Another factor which can help minimize expired items is doing regular reviews and updates to your par levels. By lowering par levels for items with decreased utilization, you can ensure that product turnover is adequate within typical shelf life cycles. The goal is to keep items moving through the system without excess items going to waste on the shelf, while still satisfying demand.

By default, when you log in, your experience starts on the Dashboard page. If you find yourself immediately clicking a link to go to the Procedures page, Inventory page, etc., you may want to change your start page. This will allow you to login and be immediately taken to the page you use most. You can always get to the Dashboard using the navigation bar. To set a particular page as your start page, just click the blue bookmark icon next to the page title. Next time you log in, you’ll be taken to this page. At any time, you can select the icon on another page to change your start page, or you can deselect that icon to revert back to the Dashboard as your start page.

You can also create your own custom left navigation by selecting the pages you want as favorites to build out your personalized list of links at the top of the left navigation area. On any page, click the red star near the top of the page to mark it as a favorite and include it in your left navigation. Note that this feature isn’t visible until you add at least one favorite.

You can also change the theme if you prefer to view AMSHub in Dark Theme. Click the moon icon at the top of the screen anywhere in AMSHub to try out the Dark Theme. AMSHub will remember your current theme and default to that until you switch.

The minimum requirements to run any web application are roughly the same: a decent computer with an up-to-date browser and high-speed Internet. These basics will have you up and running with AMSHub also. But there are some other options to consider to get the most out of AMSHub. Here are a few things to think about:

Dual or ultra-wide monitor(s) – The efficiency increase of having dual monitors has been well documented. Most studies show active computer users gain over 50% productivity with a second monitor. An ultra-wide monitor is a happy medium where one wider screen can support multiple applications side-by-side.

Laptop or tablet – If you find yourself often having to move materials to your computer to scan them in, consider a laptop – our preference is something like the Lenovo Yoga that converts from a laptop into a tablet – or an actual tablet that’s compatible with your scanner.

Scanner – There is no specific scanner needed to work with AMSHub. You can choose from various options such as wired, wireless Bluetooth, wireless Wi-Fi, etc. We’ve heard that wired scanners present the most reliable option, but find the option that works best for your facility. The scanner itself needs to be able to scan 1D, 2D, QR and Matrix barcodes. Nearly all modern scanners meet these criteria, but make sure to check their specs to be sure. By default most scanners add a carriage return after any barcode is scanned. AMSHub requires this in order to work easily. Typically scanners come with a small instruction sheet that has barcodes you can scan to enable/disable certain features. Check default options and configure as needed.

Multiple systems and scanners – If your lab has multiple areas that process inventory, you might consider having a second system to work from, including a second computer and scanner.

Stickers – It’s a low tech solution, but using color-coded stickers for things like expiring items, is an easy way to create visual cues to help flag physical inventory for specific use. We also recommend stickering items if doing a mass scan of existing inventory… rather than stopping the process when you have an item that doesn’t scan, or has some other issue. You can simply sticker it and keep going. This will allow you to keep the rhythm of adding items until complete and then return to the stickered items to address separately.

Use Chrome or Firefox – Most any newer browser will work with AMSHub, but it is a browser-intensive application, and we’ve rated Chrome as the highest-performing browser in testing, followed closely by Firefox. We don’t currently recommend Edge.

Internet Speed – We move a lot of data in AMSHub. We’re shuffling thousands, in some cases tens of thousands, of items from the cloud down to your local computer. Having a fast and reliable Internet connection is critical to those operations. Fast Internet will help with our application and most others you may use such as scheduling and EMR.

Scanning items into inventory for the first time or during cycle counts can be a daunting task. We’ve assembled a few tips to help:

Try and move all of your items into the same space (or as few spaces as possible)

Stack all of your like items together

Organize all barcodes facing out with boxes or packages oriented the same direction

Use colored stickers to help identify items that don’t scan, or otherwise have an issue. Tag them and keep moving. Come back to deal with them later.

Create a scanning shield using a thick piece of paper. When scanning barcodes, particularly smaller barcodes that are near other barcodes on your shelves, your scanner can easily scan an adjacent item. Create a shield by cutting a barcode-shaped hole in a thick piece of paper and use that to place over each barcode to ensure you are scanning the correct item.

Work in a very organized fashion to avoid repeat scans on items. Finish a shelf, cabinet or rack without stopping to avoid losing your place and having to manually review items.

If your inventory was disorganized when you started, use this opportunity to stack or reorganize your materials after scanning them.
